Staff members help maintain a fair, welcoming, and enjoyable roleplay environment. This page explains how reports, appeals, and staff interactions are handled while outlining the expectations shared by both staff and players.

Staff exist to facilitate roleplayโ€”not become the focus of it. The goal of every report, appeal, and interaction should be to preserve a fair and enjoyable experience for the entire community.

Why this rule exists โ€‹

Staff members help ensure the community remains fair, enjoyable, and welcoming for everyone. Professionalism, consistency, and impartiality are essential to maintaining player trust.

Official Policy โ€‹

Staff members are expected to:

  • Treat every player respectfully.
  • Remain impartial during investigations.
  • Apply rules consistently.
  • Explain decisions whenever reasonably possible.
  • Avoid personal bias or favoritism.
  • Act in the best interest of the community rather than personal relationships.

Not every situation will be specifically addressed within the handbook. Staff may use reasonable discretion when making decisions that protect the health of the community.

Why this rule exists โ€‹

Player reports help staff investigate potential rule violations fairly while maintaining the integrity, safety, and enjoyment of the community.

Official Policy โ€‹

When submitting a player report, members should:

  • Provide honest and accurate information.
  • Include relevant evidence whenever possible.
  • Allow staff sufficient time to investigate.
  • Remain respectful throughout the process.
  • Report behaviorโ€”not personal opinions or assumptions.

Submitting a report does not guarantee disciplinary action. Every report is reviewed individually based on the available evidence, context, and applicable server rules.

โœ… Providing screenshots or video evidence.

โœ… Clearly describing what occurred.

โœ… Reporting rule violations in good faith, even when you were not directly involved.

โŒ Filing reports out of anger or retaliation.

โŒ Repeatedly submitting duplicate reports.

โŒ Editing or withholding evidence to influence the outcome of an investigation.

Important

Player Reports โ€‹

Reports should be submitted to help maintain a fair and enjoyable communityโ€”not to "win" disagreements.

Provide honest information, include relevant evidence when available, and allow staff time to complete their investigation.

Not every report will result in disciplinary action, and a lack of punishment does not necessarily mean a report was ignored.

Players should avoid discussing active investigations publicly, as doing so may interfere with the review process or create unnecessary conflict.

Why this rule exists โ€‹

Reporting bugs helps the development team improve the server, maintain fairness, and prevent unintended exploits that could impact the roleplay experience.

Official Policy โ€‹

Players who discover bugs are expected to report them promptly through the appropriate support channels.

Players may not intentionally exploit known bugs or continue using unintended mechanics after becoming aware they are not functioning as intended.

Providing detailed informationโ€”including steps to reproduce the issueโ€”helps resolve problems more efficiently.

If you are unsure whether something is a bug or intended behavior, report it rather than assume it is allowed.

Examples โ€‹

โœ… Reporting a broken interaction.

โœ… Providing screenshots or reproduction steps.

โœ… Reporting a bug even if it does not directly affect your own gameplay.

โŒ Sharing exploits publicly.

โŒ Repeatedly abusing known bugs.

โŒ Teaching other players how to reproduce an exploit instead of reporting it privately.

Important

Bug Reports โ€‹

Finding a bug does not mean you have permission to use it.

If you discover an unintended mechanic or exploit, stop using it immediately and report it through the appropriate support channel.

Helping resolve bugs improves the experience for the entire community.

Bug reports submitted in good faith help improve the server and are always appreciated, even if the reported issue turns out to be intended behavior.

Why this rule exists โ€‹

Appeals provide players with an opportunity to request a fair review of staff decisions when they believe an error has occurred. The goal of the appeal process is to ensure fairness, accountability, and consistencyโ€”not to restart an argument.

Official Policy โ€‹

Players may submit an appeal through the appropriate appeal process if they believe a staff action was made in error.

When submitting an appeal, players should:

  • Clearly explain why they believe the decision should be reviewed.
  • Provide any relevant evidence that supports their appeal.
  • Remain respectful throughout the process.
  • Accept the final decision once the appeal has concluded.
  • Submit appeals in good faith and only through the official appeal process.

Appeals should focus on facts and evidence rather than personal opinions or emotions.

Appeals should not be used to delay enforcement, pressure staff, or relitigate issues that have already been fully reviewed without new information.

โœ… Providing additional evidence that was unavailable during the original investigation.

โœ… Respectfully explaining why a rule may have been misunderstood.

โœ… Accepting the outcome of an appeal, even if the decision is upheld.

โŒ Repeatedly appealing the same decision without new information.

โŒ Harassing staff members after an appeal has been denied.

โŒ Attempting to bypass the appeal process by contacting multiple staff members individually.

Appeals exist to ensure fairnessโ€”not to continue disagreements indefinitely.

Submitting an appeal does not guarantee that a decision will be changed, but every appeal will be reviewed according to the available evidence and server policies.

Respectful communication throughout the process helps ensure every appeal receives a fair review.


๐Ÿ“‹ Staff Discretion โ€‹

Why this rule exists โ€‹

No handbook can anticipate every situation that may occur within a living roleplay community. Staff discretion allows unique situations to be handled fairly while protecting the integrity of the community and the spirit of the handbook

Official Policy โ€‹

Staff may exercise reasonable discretion when:

  • A situation is not specifically addressed by the handbook.
  • Multiple rules overlap.
  • Unexpected circumstances arise.
  • Protecting the long-term health and integrity of the community requires additional judgment.
  • Preventing outcomes that would clearly conflict with the intent of the handbook, even if not explicitly addressed.

Staff discretion will always be guided by fairness, consistency, and the spirit of the handbook rather than personal preference.

Whenever reasonably practical, staff should explain discretionary decisions to the players involved to promote transparency and understanding.

Staff Discretion โ€‹

Staff discretion is intended to support the spirit of the handbookโ€”not replace it.

Discretion is exercised to resolve situations that cannot reasonably be addressed by written rules while protecting fairness, consistency, and the overall health of the community.

Whenever possible, staff decisions should be transparent, consistent, and guided by the same principles applied throughout this handbook.

Why this rule exists โ€‹

The reporting system exists to resolve genuine issues, protect the community, and ensure fairnessโ€”not to gain an advantage over other players or retaliate against them.

Official Policy โ€‹

Knowingly submitting false, misleading, or malicious reports is prohibited.

Intentionally omitting important information or manipulating evidence may also be treated as a false report.

Examples: โ€‹

โœ… Reporting a concern honestly, even if it is later determined that no rule was broken.

โœ… Correcting information if you later realize part of your report was inaccurate.

โŒ Fabricating evidence.

โŒ Knowingly providing false information.

โŒ Reporting players solely out of anger or retaliation.

โŒ Attempting to misuse the reporting system to punish another player unfairly.

Mistaken reports made in good faith are not considered false reports.

Staff understand that players may sometimes misunderstand situations, and honest mistakes will be treated differently from intentional abuse.


Important

Staff members and players share the same goal:

To create a fair, welcoming, and enjoyable roleplay community.

Mutual respect, honest communication, and a willingness to work together help resolve issues far more effectively than hostility or confrontation.

If you disagree with a decision, use the proper appeal process rather than arguing publicly.

Every report, appeal, and investigation is handled with the goal of protecting the fairness, integrity, and long-term health of the Aeon Roleplay community.
